AI Receptionist Integration

A phone line that answers every call, books the job, and hands the hard ones to a person.

Every unanswered call is a customer deciding who to call next.

The owner already knows the problem: "We miss calls when the crew's on a roof." "After hours goes to voicemail, and nobody leaves one." "The office is buried at 8 a.m. and the phone rolls over." A caller with a leaking water heater doesn't wait to be called back. They call the next name.

We've written about the leads you never knew you lost. Most of them were phone calls. An AI receptionist answers every one, at any hour, and does the part of the job that can be written down: greet, gather details, check the schedule, book, confirm, and pass along what it heard.

What an AI receptionist actually is

Leave the marketing aside and it's a chain of three pieces. A phone number routes the call to software. The software turns speech into text, sends it to a language model along with your rules, and speaks the reply back. Telephony services such as Twilio's ConversationRelay handle the speech-to-text and text-to-speech, and connect the live call to the application over a WebSocket.

The voice is the easy part now. The useful part is everything behind it: your service area, your hours, which jobs you take and which you don't, how emergencies differ from routine work, and a live connection to your calendar or field software. That's integration work, and it's what we do. Booking into ServiceTitan, for example, is covered by our ServiceTitan integration.

What we build

A call flow written for your business, from a review of how your office handles calls today: what callers ask, what you need to know before dispatching, and what you never want promised on your behalf.

Booking into the real schedule, with a text confirmation to the caller, so the appointment exists somewhere other than a transcript.

Emergency triage and a warm transfer to your on-call phone when the situation calls for a person: gas smell, flooding, no heat in January, or simply a caller who asks for a human.

A written record of every call, with a short summary sent to the office and logged with the lead, so a 2 a.m. call is waiting in plain English at 7.

Spam screening. Robocalls and sales pitches get a polite brush-off instead of a booking slot, and they stay out of your morning summary.

Rules you can change. Hours, holiday closures, service areas, and the jobs you're not taking this month all change. They live in plain settings, not buried in code, and when something does need the developer, it's a phone call to the one who built it.

Honesty at the top. The assistant says up front that it's an automated assistant and, if calls are recorded, that the call is being recorded. Callers deserve to know, and it's easier to build the rule in on day one than add it after a complaint.

The rules we build around

Answering, not cold-calling. In February 2024 the FCC confirmed that the Telephone Consumer Protection Act's limits on artificial voices apply to AI-generated voices. Outbound AI calls therefore need the called person's prior consent, and written consent when the call is telemarketing. We build receptionists that answer your incoming calls. We don't build robots that dial strangers.

Recording consent varies by state. Some states, California among them, make it a crime to record a confidential call without every party's consent, and the rules differ from state to state. Since callers can be anywhere, the assistant announces recording at the start. This isn't legal advice, so ask your attorney about the states you serve.

It doesn't make things up. Language models can be confidently wrong. Ours quote prices only from the numbers you give them, don't diagnose equipment over the phone, and hand off anything outside their script. If the assistant doesn't know, it takes a message and says a person will call back.

How it runs

We start with your current calls. With your permission, we listen to real ones, or sit with whoever answers the phone, and write the script from what customers actually say. Then we build it, connect it, and test it with staged calls: the easy booking, the angry customer, the wrong number, the caller who only speaks Spanish.

Launch is gradual. We recommend starting with after-hours and overflow only, so the assistant picks up when no one else can. For the first weeks we read the transcripts and adjust the script. Then you decide how much of the day it covers.

Here's what a caller should experience. The phone rings twice, a calm voice answers with your company name, says it's an automated assistant, and asks how it can help. The caller says the upstairs AC is blowing warm. The assistant confirms the address is in your service area, asks two or three questions your dispatcher would ask, offers the next open windows, books one, and texts a confirmation. Your office gets a short summary. If the caller says the unit is sparking, or asks for a person, the assistant stops booking and transfers the call.

It isn't flawless, and we won't pretend otherwise. Heavy background noise, poor cell reception, and unusual requests can trip it up. That's why we test for them, why every call has a way out to a person, and why someone reads the transcripts for the first few weeks.

What it costs

The build falls under our web app, portal and integration work, which starts from $575***. The price depends on how many call paths, integrations, and handoff rules the business needs.

Running costs are separate and usage-based. The phone line and the AI model are billed per use by the companies that provide them. We set those accounts up so you can see the meter, and we estimate it with you before launch. Full pricing is on the pricing page. ***Pricing depends on complexity.

Who it's not for, and what we've built

It's not for calls that require a licensed professional's judgment on the line, like legal advice or medical triage. If callers will share health information, that needs a compliance review before any AI touches the phone. It's not for anyone who wants callers fooled into thinking they're talking to a person. And it's not a replacement for a good office team. It covers the hours and overflow they can't.

Here's the track record, stated plainly. We built TeamAIOps, a platform of AI customer-service reps that answer in seconds, book work, and file a plain-English report of every conversation. We also built LeadBolt, which replies to contractor leads from Yelp, Google, Meta, Angi, the website, and the phone within a minute and follows up until the appointment is booked. Those are chat and text products. A voice receptionist uses the same engineering with a phone line in front, and we won't claim a portfolio of voice deployments we can't show you.

How it works

Four steps. No mystery.

01

We listen first

You tell us about your shop, your best jobs, and your busy seasons. We learn your trade before we write a word or run a dollar.

02

We build the plan

A straight, honest plan with real timelines and real numbers. No jargon fog, no mystery line items.

03

We do the work

The person who built the plan does the work and answers your call. We ship, we measure, we show you what is moving the phone.

04

We tune and grow

Marketing is not set-and-forget. We cut what wastes money and pour more into what books jobs.

What clients say — in their words

“Casey, the owner and developer, took the project and ran with it 100%. I gave him specific direction and he went well above the call of duty. Five star service all the way!”
“Wow! Casey rocked! The process was so easy, I told Casey what I wanted and he built it. My go-to with my online business, which has grown exponentially since working together.”
“First class all the way! From the prompt communication, being available seven days a week, to the nuts and bolts of getting our project completed on time and on budget — I highly recommend!”
“Simply amazing! They took our outdated website and transformed it into a modern, user-friendly platform that truly represents our brand.”
“They get it done. We had no idea where to start; they explained the build process and were patient with our many questions. All expectations and timelines were met. Double thumbs up!”
“Instrumental in driving our company growth through expert management of our Google and Microsoft Ads.”
“They helped us turn a loose idea into a working digital product — asked sharp questions, found the hidden workflow problems, and built a system our staff could use without a long training curve.”
“What stood out was the balance of design and operations. The site looked polished, but the real win was behind the scenes: better forms, cleaner handoffs, stronger tracking, fewer manual steps.”
“They made the technical side feel clear. We talked about goals first — then platforms, content, search, and automation.”

AI Receptionist Integration: questions we hear a lot.

Will callers know they're talking to AI?

Yes. Our receptionists say up front that they're automated assistants, and if calls are recorded, they say that too. Some states require every party's consent to record a call, and callers deserve to know either way. Anyone who asks for a person can be transferred.

Can the AI receptionist book appointments?

Yes. It can check your real schedule, offer open windows, book the appointment, and text the caller a confirmation. With an integration, it can deliver bookings into your calendar or field-service software, such as ServiceTitan, so your office isn't retyping anything.

What happens with emergencies or difficult calls?

The assistant follows rules you set. Emergencies like gas smells or flooding, angry customers, and anything outside its script go to a person, usually by a warm transfer to your on-call phone. If no one answers, it takes a detailed message and flags it as urgent.

How much does an AI receptionist cost?

The build falls under our integration work, which starts from $575, depending on how many call paths, integrations, and handoff rules you need. Phone-line and AI usage are billed separately by those providers based on use, and we estimate those costs with you before launch.

Can it make outbound calls to leads?

We build receptionists for incoming calls. The FCC has confirmed that federal limits on artificial voices apply to AI-generated voices, so outbound AI calls require the called person's prior consent, and written consent for telemarketing. We don't build systems that cold-call people.
