ServiceTitan Revenue Reporting Dashboards
Booked, invoiced and collected are three different numbers that move at three different speeds. A revenue dashboard keeps them apart, defines each one, and shows the gap between them.

One replacement, three months, three revenue figures.
For example, a comfort advisor sells a $14,000 system replacement on March 28. The crew installs it April 9 and the invoice is dated that day. The customer financed it, so the money lands in May. Ask which month that revenue belongs to and the sales manager says March, the office says April, and the bookkeeper says May. Each answer is correct for a different question.
The trouble starts when one report quietly mixes them, or when two people compare figures without saying which kind they mean. A revenue dashboard built on ServiceTitan data names each kind, calculates each one separately, and shows the pipeline between them: what's sold but not yet installed, what's invoiced but not yet paid.
This page covers revenue only. The owner's broader one-screen view is the executive KPI dashboard, and cost and margin are on the job profitability dashboard. Both sit within our custom ServiceTitan dashboards work.
Revenue definitions
Each figure is pinned to one date and one set of records. That's what lets the three of them be compared without argument.
- Booked revenue
Total of estimates marked sold, by the date they were sold. Where a job had several options, only the sold one counts. Estimates sold and later unsold or canceled are removed from the period they were booked in, and the screen notes the change.
Data needed: Estimates (Sales & Estimates): status, sold date, amount, job and business unit. Depends on salespeople marking estimates sold in ServiceTitan rather than on paper.
- Invoiced revenue
Invoice totals by invoice date, before sales tax. Adjustment invoices count in the period of their own date unless you choose to restate the original month. $0 invoices are listed but add nothing.
Data needed: Invoices and invoice items (Accounting). Adjustment invoices are part of the same family.
- Collected revenue
Payments received, by payment date, across all methods. Payments are applied to the invoices they pay, so deposits taken before the work is invoiced show up as collected but not yet invoiced.
Data needed: Payments (Accounting). Financing payouts and deposits appear only as your office records them in ServiceTitan.
- Refunds and credits
Shown on their own line, never netted silently. Whether a refund reduces revenue in the month it was issued or the month of the original invoice is a choice made once and applied everywhere.
Data needed: Payments and adjustment invoices. The rule follows however your office records refunds and credits in ServiceTitan.
- Outstanding A/R
Invoiced amounts not yet paid as of a date, grouped by age: current, 31 to 60, 61 to 90, over 90 days. Membership and financing balances can be separated if they behave differently.
Data needed: Invoices with their balances and payments (Accounting). Should agree with ServiceTitan's own receivables report for the same date.
- Sold, not yet invoiced
Sold estimate value on jobs not yet invoiced. This is the install backlog in dollars, and the figure that explains a quiet invoicing month after a strong sales month.
Data needed: Sold estimates joined to their jobs and invoices.
Periods and comparisons that hold up
Most revenue arguments are really period arguments. These get settled once.
Calendar or fiscal months
If your accountant closes books on a fiscal calendar, the dashboard follows it. Weekly views state which day a week starts.
Same day, prior period
Month-to-date compares to the same day last month and last year, never to a full month. A mid-month dip is usually just arithmetic.
Closed periods
When an adjustment posts in May against a March invoice, either March changes or May takes the hit. Pick one rule; the dashboard marks restated months.
Business units
Revenue by business unit uses one rule for which unit an invoice belongs to, so service, install and maintenance add up to the company total.
Time zones
Dates are read in the company's local time so a payment taken at 6 p.m. on the 31st doesn't land in the next month.
ServiceTitan's revenue reports vs a custom revenue dashboard
| Need | In ServiceTitan | Custom-built |
|---|---|---|
| Revenue reports | Built-in revenue, sales and receivables reports with ServiceTitan's definitions. | Booked, invoiced and collected side by side with your definitions, and the gaps between them as their own figures. |
| Adjustments and refunds | Recorded on invoices and payments and included in standard reports. | Separated and labeled, with an explicit rule for which period absorbs them. |
| Sharing | Reports can be exported and scheduled as PDF or Excel files. | A live screen for the roles you choose, with drill-down to the invoices behind any figure. |
| Accounting | Your accounting system remains the book of record. | Still true. The dashboard is an operating view and is reconciled to accounting, not a replacement for it. |
Where the gaps show up by trade
HVAC
Replacement sales booked in a heat wave invoice over the following weeks as crews catch up. Financed systems add another gap between invoiced and collected.
Plumbing
Service work is usually invoiced and paid the same day, so booked, invoiced and collected nearly match. Repipes and sewer line replacements are where the three separate.
Roofing
Deposits at signing, progress billing and final payment after inspection mean collected can run ahead of invoiced on a tile roof and behind it on insurance work.
Remodeling
Long projects billed in stages make the sold-not-yet-invoiced figure the most useful number on the screen.
What to have ready before we talk
None of this is required for a first call, but each answer makes the scope and the quote sharper.
- Which revenue you plan around today and who reports each kind
- Whether you report on calendar months or a fiscal calendar
- How refunds, credits and adjustment invoices are recorded in your account
- How deposits and financing payouts are entered in ServiceTitan
- Which business units should add up to the company total
- Who may see revenue and A/R, and who may not

Revenue dashboard: questions we hear a lot.
What's the difference between booked and invoiced revenue?
Booked revenue is the value of estimates marked sold, dated when they were sold. Invoiced revenue is the value of invoices, dated when they were issued, which is usually when the work is done. On install work the two can be weeks apart.
How are adjustments and refunds handled?
They're shown on their own line rather than netted silently. You choose once whether an adjustment changes the original month or lands in the month it was posted, and the dashboard marks any restated months.
Will A/R match ServiceTitan's receivables report?
For the same as-of date and the same definitions, it should, and that's one of the checks before go-live. Differences usually come from date cutoffs or from how deposits and financing are recorded.
Does this replace our accounting reports?
No. Your accounting system stays the book of record. The dashboard is an operating view of ServiceTitan data that's reconciled to accounting, so managers can see sold, invoiced and collected without waiting for month-end close.
