ServiceTitan Project Gallery Integrations
Your technicians photograph good work every day, and almost none of it reaches your website. We build gallery systems that move approved photos from the truck to your site, designed around ServiceTitan's API Terms so your API access is never the thing at risk.

Thousands of job photos, and a gallery from three years ago
Ask a roofing or HVAC company where its best work is documented and the answer is usually the same: on the technicians' phones, attached to jobs in ServiceTitan, and in a shared drive nobody has opened since spring. The website gallery, meanwhile, shows the eleven photos uploaded during the last redesign. A homeowner comparing three contractors for a $14,000 system replacement looks at that page and sees a company that seems to have stopped working.
The fix isn't a better gallery plugin. It's a pipeline: a way for photos to leave the truck, get checked by someone in the office, and land on the right page of the website with a caption, a service and a neighborhood attached. That's what we build. The office decides what gets published; the software does the sorting, resizing and filing nobody has time for.
Four ways to build a ServiceTitan-connected gallery
They differ mainly in where the photos come from. All four keep a person in your office in charge of what goes public.
Your own photo pipeline (our usual recommendation)
Technicians capture photos into a contractor-owned upload app on their phones and tag each set with the ServiceTitan job number. The photos live in your own media repository; the job number is only an internal reference. Nothing obtained from the API is published. How the automated gallery works.
Office upload with a private job lookup
For smaller shops: someone in the office picks the best photos, uploads them to a private admin screen, enters the job number to see the job type and scope there, and writes the caption. Only words your team wrote and photos you own go public. The review and approval tool.
Your existing photo library
Some companies already keep finished-job photos in a shared drive or photo service they control. We import from that library on a schedule or on demand, through the same review queue, so older work can be published too.
API-fed, only with written approval
Pulling attachments directly from ServiceTitan into a public gallery is built only where ServiceTitan has approved that use in writing for your account. We check before quoting it. If the answer is no, one of the other three approaches does the same job.
What a project gallery looks like by trade
The layout should follow how customers shop for the work, not how the jobs are filed.
Roofing
Before and after pairs carry the page, filtered by roof type and area. A tile roof replaced ahead of monsoon season reads better as a three-photo story (old tile, exposed underlayment, finished roof) than as a single wide shot. Before and after galleries.
HVAC
Installs photograph cleanly: a condenser on a new pad, a tidy line set, a labeled air handler in the attic. Filter by system and job type, and show recent installs on each service page.
Plumbing
Mostly close shots: a tankless heater on a garage wall, a new manifold before the drywall goes back. Short captions do the explaining.
Remodeling
Fewer projects, more photos each. A kitchen or bath often deserves its own page with a written story. Turning completed jobs into case studies.
Multi-trade
One gallery with a service filter, plus the three newest matching entries on every service page, so the HVAC page shows HVAC work and the plumbing page shows plumbing.
Why project pages help search
Service pages describe what you do. Project pages show it, in neighborhoods your customers recognize. A page about a heat pump replacement with original photos and a few honest paragraphs is the kind of specific, first-hand content that a competitor's generic service page lacks, and original images can also surface in image search.
Volume isn't the goal. Fifty near-identical pages that swap the city name are thin content, and they can drag the rest of the site down. We build galleries so every published entry has its own photos and its own words, and so the best jobs can graduate into full case studies. Fast images matter too: resizing, modern formats and lazy loading are part of the build. Our own portfolio follows the same rule: one page per project, its own images, and a plain account of what was built.
Privacy is part of the design
Customer consent first
A consent step before any photo of someone's home is published, whether that's language on the work order or a short text after the job. The tool records who agreed and when.
Neighborhood-level location only
Captions and filters name an area or neighborhood, never a street address. Nothing on the page should let a stranger find the house.
Nothing identifying in frame
House numbers, faces, license plates, mail, paperwork and alarm panels are cropped out, or the photo is rejected. A reviewer checks every image.
Location data stripped
Phone photos carry GPS coordinates in their EXIF metadata. The publishing step removes it from every file that reaches the website.
ServiceTitan's customer portal vs a public gallery
Two different audiences. Most contractors should use both.
| Need | In ServiceTitan | Custom-built |
|---|---|---|
| Who sees the photos | The customer the job belongs to, through ServiceTitan's New Customer Portal, which can show photos your team marks as customer-facing. | Anyone visiting your website, but only photos your company owns, has approved and has consent to publish. |
| Where photos come from | Attachments on the job inside ServiceTitan. | Your own upload app or media library, tagged with the job number as an internal reference. |
| What it's for | A service record and transparency for that one customer. | Proof of work for prospects, search visibility, and something a salesperson can text a homeowner. |
| Control | A customer-facing setting per photo. | Approval status, crop, caption, consent record, publish and unpublish in your own admin tool. |

What to have ready before we talk
None of this is required for a first call, but each answer makes the scope and the quote sharper.
- Where finished-job photos live today: technician phones, ServiceTitan attachments, a shared drive
- Which trades and job types belong in the gallery, and which never do
- Who in the office will approve photos and write captions
- How you collect customer consent for photos now, if at all
- Your website platform, and whether the gallery lives inside it or alongside it
- Whether you want us to ask ServiceTitan about API-fed publishing for your account

Project galleries: questions we hear a lot.
Can you pull our job photos from ServiceTitan straight onto our website?
Technically the API can download job attachments, but ServiceTitan's API Terms restrict putting API content on public, search-indexable sites without ServiceTitan's permission. We build from photos your company owns instead, or ask ServiceTitan for written approval for your account before building an API-fed version.
Do our technicians have to change how they take photos?
A little. In the usual setup they upload to a simple app on their phone and enter the job number, which takes about as long as texting the photos to the office. A short field guide on angles and what to keep out of frame helps more than any software.
Can customers see photos of their own job?
Yes, through ServiceTitan itself. Its New Customer Portal can show a customer the photos your team marks as customer-facing. That's private to that customer; the public gallery is a separate, approved set.
Will the gallery show where our customers live?
No. Entries name a neighborhood or area, never an address, and reviewers crop out house numbers, plates and faces. GPS metadata is stripped from every published image.
Does the gallery work with our existing website?
Usually. It can be built into your current site or run as a section alongside it, depending on the platform. We decide once we've seen how your site is built and hosted.
