ServiceTitan Completed Jobs to Website Portfolio Integration

Some jobs earn more than a thumbnail. We build a drafting workflow that puts a completed job's facts in front of your writer, privately, so a real case study gets written in an hour instead of never.

The office writes the story and picks photos it owns; the job record helps the writer, privately.

Illustrative case-study layout with a drawn scene. It is not a real job or customer.

The best stories in the company are sitting in closed jobs

A gallery entry is a photo and a line. Some jobs deserve a page: the 1960s ranch house whose attic ductwork had half collapsed, the restaurant repiped over a weekend so it could open Monday, the tile roof replaced in the weeks before monsoon season. Those stories sell the next big job. They almost never get written, because writing one means digging through the job record, hunting for photos and starting from a blank page.

A portfolio workflow removes the blank page. The facts appear in a private drafting screen, the photos are already filed under the job number, and the page template is ready. Your team still chooses the job, writes the story and approves the page. This is the editorial side of a ServiceTitan project gallery: fewer entries, each one worth reading.

Choosing which jobs become case studies

A short, deliberate list beats a long automatic one. The drafting tool can flag candidates by rules you set, such as job type, but a person makes the call.

  • Size or complexity

System replacements, reroofs, repipes and multi-day projects, where a homeowner wants to see that you've done this before.

  • Work you want more of

If you're pushing heat pumps, tile roofs or panel upgrades, those are the case studies to write first.

  • Good photos and consent

No consent, no case study. A job with a strong before and after set and a willing customer goes to the top of the list.

  • A real story

A problem a homeowner would recognize, a constraint such as an occupied house or an inspection deadline, and a decision you can explain.

  • Gaps on your site

Services or areas your website doesn't show any work for yet.

From completed job to published case study

  1. 1

    Pick the job

In the private admin tool, staff enter a job number or choose from the flagged candidates.

  2. 2

    See the facts, privately

Where your admin has approved read access, the tool looks up the job and lays out its type, business unit, scope summary, installed equipment where recorded, and duration as an outline for the writer. The location is shown at neighborhood level. This outline is a worksheet inside the private tool; it isn't published and isn't kept after the draft is written.

  3. 3

    Write the story

Someone who knows the job writes it in their own words, usually a few hundred: the problem, the options, what was done, the result. The outline keeps it on track; the voice is yours.

  4. 4

    Choose the photos

Pick a cover and a handful of supporting images from your own media repository under that job number, each with a caption and alt text. Pairs from your before and after gallery drop straight in.

  5. 5

    Fill in the page details

Title, meta description, service and area tags, structured data describing the page and its images, and links to the matching service page.

  6. 6

    Approve and publish

A second person reads it, checks consent and privacy, and publishes. The same approval rules as the photo review tool apply, and the sitemap updates with the new page.

Unique pages, not thin ones

Case studies help search when each one is genuinely different: its own photos, its own story, details a homeowner in that area recognizes. They hurt when a template stamps out "AC installation in [city]" pages with swapped place names and stock photos. Search engines treat that as thin or duplicate content, and so do customers.

So the workflow has guardrails. A page can't publish until it has a minimum of original text and its own photos. One job gets at most one case study. Each page links up to its service page and across to related work, and city or service pages show the newest case studies from that area instead of duplicating them. Structured data describes the page honestly; it never invents reviews or ratings. Case studies support a wider SEO plan rather than replacing one.

Case studies worth writing, by trade

  • HVAC

A whole-home replacement: the old system's problems, why the new equipment was sized the way it was, ductwork changes, and how the install day went.

  • Roofing

A tile reroof: what the underlayment looked like, the materials chosen, and how the schedule was planned around the weather.

  • Plumbing

A whole-home repipe done room by room so the family could stay in the house, with the before and after at the main shutoff.

  • Electrical

A panel upgrade ahead of an EV charger: the old panel, the permit and inspection steps, and the finished install.

  • Remodeling

A tub-to-shower conversion: the layout decision, the material choices, and the timeline from demolition to final walkthrough.

What to have ready before we talk

None of this is required for a first call, but each answer makes the scope and the quote sharper.

  • Which services or job types you most want case studies for
  • Who will write them, and how much time they have each month
  • Whether your admin will approve read-only job access for the private drafting tool
  • Where photos for these jobs live today
  • Your website platform and its existing service and area pages
  • How you collect and record customer consent

Completed jobs to portfolio: questions we hear a lot.

Does the software write the case study?

No. It lays out the job's facts as a private outline and keeps the photos and page fields organized. A person who knows the job writes the story, and another person approves it.

How many case studies should we publish?

Fewer than you think. A steady trickle of genuinely different pages does more than dozens of templated ones, which can count as thin content. Start with the services you most want to sell.

Can we name the customer or show their address?

We recommend neighborhood-level location only, and never an address. A customer's name or quote appears only with their explicit permission, recorded in the consent log.

Will case studies help us rank in the cities we serve?

They can, when each page is original and useful, because they show real work in real areas. There's no guarantee in search, and they work best as part of a broader SEO plan.

What happens if a customer withdraws consent later?

The page is unpublished, its images are removed from the website, and the address redirects to the matching service page. The consent record notes the change.
