ServiceTitan Instant Estimate Tool Integration
Homeowners want a number before they let a stranger into the house. A well-built estimate tool gives them an honest range, and hands your office the answers that produced it so the callback starts halfway through.

Real estimate on site
Built in ServiceTitan after the visit
The price question gets asked either way.
A homeowner with a 17-year-old heat pump has already decided it's time. What they don't know is roughly what a replacement costs for a house like theirs, and they'd rather find out before the sales visit than during it. If your website won't give them a ballpark, they'll keep searching until someone else's does.
Most contractors resist posting prices for good reasons: every house is different, a website number becomes a promise in the customer's mind, and the pricebook changes. An estimate tool answers that by giving a range tied to a few honest inputs, labeled clearly as a starting point. The number is the bait. The real value is everything the customer told you to get it.
That's where ServiceTitan comes in. The answers, the range shown and any photos travel with the request into ServiceTitan, so the CSR or comfort advisor reads the situation before picking up the phone. It's one of several flows covered in ServiceTitan website and lead integrations.
How the estimating logic works
Few inputs, chosen for price impact
Five to eight questions that genuinely move the price: size, age, type, access, the scope the customer wants. Questions that don't change the range don't belong in the tool.
Ranges, never a single price
Each answer adjusts a low and a high from a rate table you control. A two-story house with an attic air handler widens the range; a simple like-for-like swap narrows it.
Good, better, best where it fits
Showing tiers, such as a standard and a high-efficiency system, mirrors how many shops present options in the home and sets expectations early.
Qualification built in
Out-of-area ZIPs, renters without owner approval and jobs you don't do are identified politely before contact details are requested, so the office isn't calling leads it can't serve.
The answer sheet
Every input, the range shown, the tier the customer looked at longest and any photos, formatted as a readable summary for the booking.
Photos with permission
A picture of the data plate or the damaged roof section answers questions before the visit. Images are uploaded with consent and stripped of location metadata before they're sent.
Inputs that move the price, by trade
HVAC
Home square footage, number of stories, system type (split, package unit, heat pump, furnace), equipment age, location of the indoor unit, and whether ductwork is in scope.
Roofing
Roof size or home footprint, pitch, current material (asphalt, tile, metal, flat), layers to remove, and whether it's a repair, a re-roof or an inspection after a storm.
Plumbing
Water heater type and capacity, gas or electric, tank or tankless, location in the house, and whether code updates like expansion tanks are likely.
Garage doors
Door size, single or double, material, insulation, opener type and whether springs or tracks are being replaced too.
Electrical
Panel size and age, the upgrade or project wanted (panel, EV charger, generator), and distance from the panel to where the work is.
From the last question to the CSR's screen
- 1
Show the range first
The customer sees their range before giving contact details. Tools that hold the number hostage get fewer honest leads and more fake phone numbers.
- 2
Ask for contact details to go further
"Want an exact price? Book a free in-home estimate." Name, phone, address and a preferred window, with consent wording for any follow-up texts that follows your consent rules.
- 3
Send it as a booking
The request goes into ServiceTitan as a booking, which can carry a summary, the campaign, business unit, job type and uploaded images. The summary holds every answer and the range shown.
- 4
The office reviews before calling
For example, the CSR sees "2,100 sq ft, two-story, 17-year-old heat pump, attic air handler, viewed the high-efficiency range" and opens the call accordingly.
- 5
The real estimate happens in ServiceTitan
The technician or comfort advisor builds the actual estimate in ServiceTitan after seeing the house. If it doesn't sell that day, estimate follow-up automation picks it up from there.
What stays in ServiceTitan, and what the tool owns
| Need | In ServiceTitan | Custom-built |
|---|---|---|
| Prices | Your pricebook, used by technicians and comfort advisors in the home. | A range table in the tool's own settings, maintained by your team and reviewed when prices change. |
| The estimate | Built in ServiceTitan after the visit, with real options and real prices. | Never created by the tool. It shows a range and requests a visit. |
| The request | Arrives under Bookings for a CSR to book or dismiss. | Sent by the tool with the answers, range, photos and campaign attached. |
| Source tracking | Campaigns and reporting in ServiceTitan. | Campaign set from what the website captured. See lead source attribution. |
What we've built
For American Roofing we built an instant free-estimate engine with inspection booking and a custom lead tracker. That project isn't connected to ServiceTitan; it shows the estimating and booking side of the work. The Bleuwave HVAC site has instant estimate and financing lead flows with custom lead tracking wired to Google Tag Manager, and ServiceTitan is listed in its stack.
Connecting a tool like either of those to ServiceTitan follows the same pattern as a connected contact form, with a richer summary. The core service is on the ServiceTitan website integration page.
What to have ready before we talk
None of this is required for a first call, but each answer makes the scope and the quote sharper.
- Which jobs the tool should price: replacements, repairs, inspections or installs
- The inputs that genuinely move your prices, and your current price ranges for each
- Who on your team maintains the range table when prices change
- The job types and business units estimate requests should arrive under
- Whether you want photo uploads, and what you'd want to see in them
- Disclaimer wording you're comfortable with, reviewed by you

Instant estimate tools: questions we hear a lot.
Will customers treat the range as a quote?
Some will try, which is why the tool shows ranges rather than single prices, labels them as depending on an in-home visit, and uses wording you approve. The actual estimate is always built in ServiceTitan after someone sees the house.
Can the tool pull prices from our ServiceTitan pricebook?
We don't publish pricebook data on the website, because ServiceTitan's API Terms restrict putting API content on public pages. The tool keeps its own range table that your team maintains, and a private admin screen can compare it against the pricebook where your admin grants read access.
What does the office see in ServiceTitan?
A booking with the customer's details, the campaign, and a summary listing every answer, the range shown and any photos. The CSR or comfort advisor reads it before calling, so the conversation starts with the customer's actual situation.
Does the American Roofing tool send leads to ServiceTitan?
No. American Roofing's instant estimate engine and lead tracker are a custom build without ServiceTitan. We cite it for the estimating and inspection-booking work; connecting a tool like it to ServiceTitan is a separate step that follows the same pattern as our form integrations.
