ServiceTitan to Google Sheets Integration
If the Monday routine is export, open, delete four columns, paste, fix the formulas, a scheduled feed can do it before anyone gets in. First we check whether ServiceTitan's own exports already solve it, and whether your data can go to Google at all.
Data moves from ServiceTitan through Scheduled job to Google Sheets.
The spreadsheet everyone trusts, filled by hand
Every Monday the office manager runs a report in ServiceTitan, exports it, opens it, deletes the columns nobody reads, pastes the rest into the shared sheet the owner checks on Sunday nights, and repairs the formulas the paste broke. It takes forty minutes when it goes well. When the office manager is out, the sheet doesn't update and the owner makes decisions on last week's numbers.
Before building anything, look at what ServiceTitan already does. Reports can be exported as PDF or XLSX and scheduled inside ServiceTitan. If a spreadsheet emailed every Monday morning is enough, set that up and you're done. A custom feed earns its keep when the numbers need to land in the same sheet every time, combined with other data or reshaped, without a person in the middle.
How a scheduled feed to Sheets works
- 1
Give the sheet one job
Weekly revenue by business unit, open estimates by salesperson, memberships expiring this month. One question per tab keeps the feed simple and the sheet readable.
- 2
Pull from ServiceTitan on a schedule
Often from a report you already trust, through the Reporting API, which allows one run of the same report per minute per tenant (documented limits). Otherwise from the resource APIs your admin approves.
- 3
Shape it on the server
Totals, counts and the columns you'll use. Names, phone numbers and addresses stay out unless there's an agreed reason for them to be there.
- 4
Write with a service account
A Google service account that has access only to that one sheet, with its credentials stored on the server. Nobody's personal Google login is involved.
- 5
Replace, don't append forever
Each run overwrites the data tab, which keeps the sheet within the retention you agreed and avoids a slowly growing archive nobody planned for.
- 6
Stamp it and watch it
A last-refreshed time on the sheet, and an email to someone if a run fails, so a stale sheet is never mistaken for a quiet week.
A sheet layout that survives real use
Data tabs belong to the feed
Clearly named, overwritten each run, and protected so nobody types into them by accident.
Your tabs belong to you
Formulas, charts and notes live on separate tabs that reference the data tabs, so a refresh never breaks them.
Stable columns
The report owner in ServiceTitan can change a report's columns, so the feed checks the columns it expects and alerts instead of shifting everything one place left.
Dates and time zones
One time zone, stated in the sheet, and dates written as real dates so sorting and filtering work.
Sharing kept tight
Shared with named people in your Google account, never by public link.
ServiceTitan exports vs a custom Sheets feed
| Need | In ServiceTitan | Custom-built |
|---|---|---|
| Getting a report out | Run, export as PDF or XLSX, and schedule inside ServiceTitan. | The same numbers written straight into a Google Sheet on a schedule. |
| Same sheet every time | A new file each time; someone pastes it in. | The data tab refreshes in place, and your formulas and charts keep working. |
| Combining sources | One report per export. | Several reports or resources shaped into one tab, or joined with numbers you keep elsewhere. |
| Where the data lives | Inside ServiceTitan and the exported files you handle. | In a Google account, which is why scope and retention are agreed against ServiceTitan's API Terms first. |
Sheets contractors keep
HVAC
Membership counts by plan and month, kept by the service manager to plan tune-up season staffing.
Roofing
Open estimates by salesperson and age, reviewed in the Monday sales meeting.
Plumbing
Jobs and revenue by business unit per week, compared against the targets the owner set in January.
Multi-trade
One tab per business unit with the same columns, so the owner can compare HVAC, plumbing and electrical side by side.
Part of a larger toolkit
A Sheets feed is one of several ServiceTitan workflow automation options, and it uses the same integration approach as our broader API integration work: credentials on the server, least privilege, and failures that announce themselves.
What to have ready before we talk
None of this is required for a first call, but each answer makes the scope and the quote sharper.
- Which ServiceTitan reports or numbers you paste into Sheets today
- Whether the sheet needs customer-level rows or only totals
- How often it needs to refresh, and who notices if it doesn't
- Who can open the sheet, and whether it lives in a Google Workspace account
- Whether ServiceTitan's own scheduled exports already cover part of it

Google Sheets: questions we hear a lot.
Does ServiceTitan integrate with Google Sheets natively?
We can't confirm a native Google Sheets integration. ServiceTitan can export reports as PDF or XLSX and schedule them, and you should ask ServiceTitan whether your account includes a data product. Otherwise a custom scheduled feed is the usual route, confirmed against ServiceTitan's API Terms first.
Can the sheet update in real time?
No, and it rarely needs to. Feeds run on a schedule, typically hourly or daily. The Reporting API allows one run of the same report per minute per tenant, and spreadsheets work best when they change at predictable times.
How does the integration get access to our Google account?
Through a Google service account that is shared on the one sheet it writes to. Its credentials live on the server. Nobody's personal Google login is used, and access can be removed from the sheet's sharing settings at any time.
Can customer names and phone numbers go into the sheet?
We avoid it. ServiceTitan's API Terms restrict passing API data to third parties and storing it long-term without permission, and Google is a third party. Totals and counts usually answer the question; anything more is confirmed with ServiceTitan for your account first.
What happens if someone types over the data?
The next run overwrites the data tab, which is why your formulas and notes go on separate tabs. Data tabs are protected so accidental edits are rare in the first place.
