ServiceTitan Power BI Integration & Reporting

Your controller already lives in Power BI, and the one system missing from it is the one that runs the field. Getting ServiceTitan data there is a pipeline question: extract, stage, model, refresh, and agree up front on what ServiceTitan's rules allow you to keep.

Data flow

Data moves from ServiceTitan through Staging database to Power BI.

Demonstration of a Power BI pipeline. Storage location, retention and refresh are confirmed per project before building.

Field data in the same place as the finance data

The controller has accounting in Power BI. Payroll is in there. The bank feeds are in there. Then someone asks how revenue per technician tracks against labor cost by business unit, and the answer involves three ServiceTitan exports, a lookup table maintained by hand, and a weekend.

Power BI is good at combining sources, applying security and refreshing on a schedule. What it needs from ServiceTitan is a clean, modeled, regularly updated set of tables. Building that is the project. The visuals in Power BI are usually the easy part.

The architecture, step by step

  1. 1

    Extract on a schedule

A scheduled job reads the resources you need. ServiceTitan's export feeds return changed records with a continuation token, including inactive and deleted ones, which suits incremental loads. The Reporting API can pull reports you already rely on, one run of the same report per minute per tenant.

  2. 2

    Stage in a database

Records land in a database such as PostgreSQL or SQL Server, hosted where you choose and agreed with ServiceTitan's rules in mind. Nothing goes straight from the API into Power BI.

  3. 3

    Model it

Tables shaped for reporting: jobs, invoices, business units, technicians and dates, with your definitions applied once, such as which revenue counts and how split jobs are credited.

  4. 4

    Refresh in Power BI

Power BI's dataset refreshes on a schedule after each load. How often it can refresh depends on your Power BI license. A staging database on a server in your office needs Microsoft's on-premises data gateway; a cloud-hosted one usually doesn't.

  5. 5

    Secure it

Power BI row-level security so a branch manager sees their branch, workspace access limited to named people, and least-privilege read scopes on the ServiceTitan side.

  6. 6

    Monitor it

Failed loads and failed refreshes alert someone. Reports show when the data was last updated.

Governance that keeps the numbers trusted

  • A definitions document

Every measure written down: what it counts, which date it uses, what's excluded. Disagreements get settled once, on paper.

  • An owner per measure

Someone in your company decides when a definition changes, not whoever edited the report last.

  • Schema change handling

ServiceTitan report owners can change columns, so the pipeline checks what it receives and stops loudly instead of loading the wrong thing.

  • Data minimization

Only the fields reports need. Customer contact details rarely belong in a BI model.

  • Access reviews

Workspace members and row-level security rules reviewed when people change roles or leave.

What contractors model in Power BI

  • Multi-trade

Revenue and gross margin by business unit, joined to the accounting system's cost centers.

  • HVAC

Install revenue against equipment purchasing, month over month, for the controller's cash planning.

  • Plumbing

Technician revenue next to payroll hours, where payroll data is available and approved for the model.

  • Electrical

Commercial and residential divisions side by side, each manager restricted to their own division.

Related approaches

If you don't use Power BI already, a custom multi-location dashboard may fit better than adopting it. For a lighter start, a Google Sheets feed covers simple scheduled numbers. The extraction side is the same work as customer and job data sync. This page is part of ServiceTitan workflow automation, and the pipeline is built the way we approach any API integration.

What to have ready before we talk

None of this is required for a first call, but each answer makes the scope and the quote sharper.

  • Which questions leadership wants Power BI to answer with ServiceTitan data
  • Your Power BI license and where reports are published today
  • Where a staging database could be hosted, and who manages it
  • Which other sources ServiceTitan data must join: accounting, payroll, ad spend
  • Who should see which business units, branches or divisions
  • How much history you expect to keep, to confirm against ServiceTitan's rules

Power BI: questions we hear a lot.

Does ServiceTitan have a Power BI connector?

We haven't found an official one we can point to, and we can't confirm it either way. Ask ServiceTitan whether your account includes a data product. Otherwise the usual route is a custom pipeline into a staging database that Power BI refreshes from.

How often can the Power BI reports refresh?

It depends on two things: how often the pipeline loads from ServiceTitan, and how often your Power BI license allows scheduled refreshes. ServiceTitan's export feeds generally reflect changes after about 15 minutes, so for most leadership reporting a few loads a day is plenty.

Can we keep years of ServiceTitan history in the warehouse?

That depends on what ServiceTitan permits for your project. Its API Terms limit storage of API content unless the Terms or documentation allow it, so retention is agreed with ServiceTitan before building. Aggregated history is usually easier to justify than full records.

Do we need a Power BI gateway?

Only if the staging database sits on a server inside your network. A cloud-hosted database can usually be reached by Power BI directly. We decide hosting with you during scoping.

Can branch managers see only their own branch?

Yes. Power BI row-level security filters the data by the signed-in user, set up to match your branches or business units. Workspace access is limited to named people as well.
